Reports
During work with a project there often occurs a necessity of defining its current
status and sharing it remotely with colleagues or executors. For this, the program
provides the opportunity of creating different kinds of reports. Reports can
be created on both task state and structure of resources.
To generate a report, call dialog Reports by one of the following
steps:
- Use Reports in menu Workspace.
- Use button Reports
on the toolbar Workspace.
Dialog Reports will open in which a report type can be selected:
Reports are divided on 4 thematic sections: overviews, costs, resources and different states of tasks.
- Overview - data about different parts of projects.
- Costs - Reports on the cost provides the information on the task cost for a certain time period.
- Assignment - Report on resources provides the list of all the resources with specification of the tasks being completed by them.
- Reports on tasks allow to show tasks in various status: unstarted, unfinished, finished for a certain time period etc.
To help you build a report there is Wizard, which with the help of sequent
dialogs will require from you the needed information to display it in the report.
Depending on the type of your report, sets and sequence of dialogs will vary.
There are two dialogs mandatory for all reports: one for choosing a project,
the other one for choosing the columns to be displayed in your report. For reports
on tasks with a given time another additional dialog will be presented to specify
the period.
Let us study the process of report creating by an example of one of the reports
on tasks, for instance, Task for period date.
Choose the needed report type and press Generate. The dialog
of time choice will appear:
Specify the period for which you would like to get a report and press Next.
The dialog of report choice will appear:
Since we have only one project so far, then we select it and press Next
again. The dialog of column choice will appear:
Mark the columns to be included in the report. The tasks of the report can
be displayed in the same order as it is in the project, or you can sort them
by some definite criteria. For example, Name - by ABC, Duration
- by the length of fulfilment of the task, Start - by date,
from first to last, Cost - by volume of cost etc. The criteria
can be chosen from the pop-up list Sorting by column.
To reverse sort them, activate option By descent.
On finishing all settings press Finish. The program will generate
a report according to your settings, save it in HTML and will
open it in Internet browser.
Task: create a report on task sates, starting from the task Make
up entertainment list toBuy lacking equipment
and on the project resources.
Various report types:
Reports on tasks (for a certain time period):

Corresponds to the Gantt chart text part. All settings are done in the Wizard
dialogs, where you can include certaint tasks, columns, show priorities for
task sorting etc.
Report on resources:

Corresponds to the resource list window. All settings are done in the Wizard
dialogs, where you can include certaint tasks, columns, show priorities for
task sorting etc.
In choosing project dialog you can divide report on resources by projects or show all tasks together by dates. To do this you must mark or unmark Divide reports on projects option.


Report with general information about the project:

In the report information is arranged
in blocks:
general: about the author, start/end dates and about the project duration;
whether it includes any other projects; about the project cost:
planned and real;
about the tasks: the number of tasks unstarted, unfifnished, finished
etc.; about resources: human and material.

Report on the cost
Report on the cost assumes additional settings, that is why it is considered
separately.
Choose the report type Costs / Cash flow and press Generate.
The first Wizard dialog will appear - for choosing a time interval. The dialog
has already been described above.
The following dialog allows to choose time intervals for which reports on material
expenses will be generated.
The next dialog allows to choose levels of tasks on which the report will be
created: the project, tasks of 1-3 levels or tasks of all levels.
The last Wizard dialog serves for choosing of a project. It has already been
described above. After finishing all the settings press
Next.
Task: Create a montly report on the tasks of the 1-st level.
We have to get the approximate report:

Now your colleagues will be able to see the report in Internet/Intranet, and
the presence of ConceptDraw Project is not crucial for them.
